Job Responsibilities
  • Oversee entire order processing workflow, including preparation of delivery/shipping documents, invoicing, and project control
  • Serve as central point for document submissions and archiving to ensure proper project record-keeping
  • Ensure efficient order execution while maintaining cost control and meeting delivery timelines
  • Maintain proactive communication with customers regarding order updates, changes, delivery issues, and non-conformance management
  • Support financial planning by tracking project costs and assisting with monthly revenue recognition
  • Monitor project gross margins, manage change orders, and track high-risk projects for potential delays or cancellations
  • Prepare Monthly Project Status Review Report for project meetings
  • Advise business on customer terms, highlighting potential risks and ensuring compliance with company policies
  • Prepare documentation for letter of credit negotiations
  • Serve as primary point of contact for internal and external customer service inquiries
  • Work cross-functionally with key stakeholders to facilitate decision-making and prioritize project deliveries
  • Maintain, monitor, and audit internal controls to ensure compliance with company standards
  • Follow up on project payments to ensure timely collections and financial accuracy
  • Job Requirements
  • Minimum qualification: Diploma or Degree in Business, Accounting, or related field
  • Minimum 5+ years of experience in a similar role within a related industry, with exposure to business processes and operations
  • Strong background in business administration, order processing, and cost control is advantageous
  • Preferred knowledge of Percentage of Completion (POC) and Point-in-Time revenue recognition
  • Excellent organizational and time management skills, with ability to effectively track project schedules
  • Strong communication skills (written and verbal) for seamless coordination with customers and internal teams
  • Analytical and detail-oriented, with high accuracy in financial and operational processes
  • Proactive, independent, and capable of multi-tasking in a fast-paced environment
  • Strong problem-solving abilities with focus on process improvement
  • Team-oriented with ability to collaborate across departments and build strong working relationships
  • Proficient in Microsoft Office (Excel, Word, Outlook) and ERP systems
